Office Administrator / Executive Assistant – Nicosia
SMO Careers is hiring on behalf of a client, a Software Development and Consulting firm, seeking an Office Administrator / Executive Assistant to join their team.
This is a varied role combining office administration and management, accounting administration, employee support, event coordination, and direct executive assistance to the CEO. The successful candidate will take ownership of the smooth day-to-day running of the office while supporting internal processes and ensuring a professional and well-organised working environment.
Responsibilities
-Act as the first point of contact for the company, managing calls, the main email inbox, correspondence, and welcoming clients, partners, suppliers, and visitors
-Take ownership of the smooth day-to-day running of the office, ensuring it remains tidy, presentable, fully stocked, and well organized
-Maintain company procedures, templates, forms, standard documents, filing systems, and company records, ensuring information is accurate and up to date
-Support employees with administrative information relating to company procedures and benefits, including the Provident Fund and Medical Fund
-Support adherence to internal procedures, including timesheet logging and sick leave processes
-Support the administrative side of employee onboarding and offboarding, including documentation, employee records, and induction arrangements
-Act as ISO Administrator, maintaining relevant documentation and supporting adherence to established procedures
-Manage office, kitchen, stationery, cleaning, and hygiene supplies and coordinate with cleaning services and other suppliers
-Liaise with the building owner and external suppliers regarding premises and office-related matters, obtaining quotations and maintaining supplier records and agreements
-Support Health & Safety compliance and related administration
-Prepare and issue client invoices and receipts and follow up on outstanding payments
-Register supplier invoices and prepare supplier payments through online banking for review and approval
-Maintain accounting records and documentation, support the external accountant, and manage petty cash and reconciliations
-Handle administration with government departments and authorities, including Social Insurance, Inland Revenue, and HRDA/AnAD
-Plan and coordinate company events, celebrations, employee gifts, career fairs, and client or partner events
-Support employee wellbeing initiatives and other activities contributing to company culture
-Provide direct administrative support to the CEO, including calendar and meeting management, follow-ups, confidential matters, travel arrangements, accommodation, and other logistics
-Provide general administrative and project support to internal teams as required
Requirements
-Previous experience in office administration, office management, or a similar all-round administrative role
-Some hands-on experience with accounting administration, including invoicing and payments
-Excellent command of both Greek and English, written and spoken
-Excellent organisational and time-management skills, with strong attention to detail
-Ability to manage multiple priorities calmly, efficiently, and reliably
-High level of discretion, integrity, and professionalism when handling confidential information
-Good working knowledge of Microsoft Office, including Word, Excel, and Outlook
-Strong communication and interpersonal skills
-Proactive and self-motivated approach, with the ability to identify what needs to be done and take ownership
-Strong teamwork and collaborative mindset
The Following Will Be Considered an Advantage
-Studies or experience in Business Administration or a related field
-Familiarity with Cyprus government and administrative processes, including Social Insurance, Inland Revenue, HRDA/AnAD, and ERGANI
-Previous experience supporting senior management as an Executive Assistant or Personal Assistant
-Experience with ISO documentation or quality management systems
-Experience coordinating projects, corporate events, or employee activities
