Office Administrator / Executive Assistant – Nicosia
SMO Careers is hiring on behalf of a client, a Software Development and Consulting firm, seeking an Office Administrator / Executive Assistant to join their team. The company delivers software solutions and consulting services to a wide range of clients and is committed to fostering a collaborative and people-focused working environment.
Responsibilities
-Take full ownership of the smooth day-to-day running of the office, keeping it tidy, presentable, and well-organised at all times
-Be the first point of contact for the company, answering and directing calls, managing correspondence, and welcoming clients, partners, and visitors
-Manage office supplies, equipment, and stock, and liaise with suppliers and service providers to keep the office fully functional
-Support the CEO directly, managing their calendar, scheduling meetings, and handling day-to-day administrative tasks
-Prepare, organise, and follow up on documents, agendas, briefings, and action items, and coordinate travel and logistics as required
-Process client and supplier invoices and manage payments to suppliers
-Handle administration with government departments, including Social Insurance, Inland Revenue, and HRDA, preparing and submitting the required documentation
-Manage and update company databases and maintain accurate employee, client, partner, financial, accounting, and legal records
-Communicate with clients and partners and respond to requests and inquiries professionally
-Coordinate the preparation of product brochures, presentations, and client proposals
-Coordinate special events and activities such as career fairs and company events
-Provide support to internal teams and projects as required
Requirements
-Excellent organisational skills with strong attention to detail and the ability to manage multiple priorities simultaneously
-Excellent command of both English and Greek, written and spoken
-High level of discretion, integrity, and reliability, with the ability to handle confidential and sensitive information
-Good working knowledge of MS Office applications including Word, Excel, and Outlook
-Excellent communication, social, and interpersonal skills
-Strong organisational mindset with the ability to balance office and executive priorities
-Self-starter with initiative, determination, and a proactive approach to work
-Strong teamwork and collaboration skills
-Trustworthy and discreet, with sound judgement when handling sensitive matters
-Ability to communicate clearly and concisely
The following will be considered an advantage:
-Experience in Business Administration, Digital Branding, or Human Resources
-Experience in managing projects
-Familiarity with Cyprus government and administrative processes including Social Insurance, Inland Revenue, and HRDA
-Previous experience supporting senior management as an Executive Assistant or Personal Assistant
